Meeting minutes for February 3, 2010

In attendance: Ken Newman, Acting President, Lisa Paese, Treasurer, Ellen Heidelberg, Secretary, Monica Jones, Leslie Newman, Laura Crescimanno, Bill Mann, Gail Portee Clark, Victoria Paese, Madison Ribiero.

Meeting was called to order at 7:22pm by Ken Newman, seconded by Ellen Heidelberg.

Meeting minutes from January 2010 were read and accepted.

Treasurer's Report - was read and recorded.

Old Business:Banquet was a success, however the association incurred a $300 loss.

New Business:Sponsorships for the show booklet - Laura suggested that each member should bring to the association at least two sponsors, it was discussed and agreed upon. Gail will email out last year's sponsors, i.e. Congelosi Trailers, Heritage Feed etc.

Youth will have to get their list of Congress sponsors to Monica so that the ads can make the booklet.

Victoria stated that she does not always get the blasts. Monica explained that sometimes she has to pick and choose who gets what, because of the number of blasts we are allowed each month. Victoria felt that was not right and wants to create her own yahoo account so that she can insure that everyone gets the information. Monica suggested that she just send out emails from the association's gmail account and will forward Vicky the necessary password.

Laura stated that the email addresses are not all correct, hers for example is no longer what we have recorded. She stated that she had advised us of the change long ago, and it was not corrected. Monica will make the necessary corrections.

Victoria requested an updated membership list, so that she could create an updated email list. Leslie stated that she currently has 6 - 2010 membership registrations, as more come in Leslie will provide Victoria with the requested information.

We agreed that the email blasts are effective and voted to continue with them.

Gail reports that she has a request from Emmet and Lee Broas, they asked if NYSTQHA would again point the 2010 Rotary Show for our association. We voted to continue, Gail will advised Emmet and Lee.

Gail submitted her letter of resignation as show manager, which was accepted. She will be available to train her replacement. She suggested Laura Crescimanno for the position. There was no vote. Gail advised that if this association were to host an AQHA show, the show manager would have to be certified by AQHA. AQHA holds a 2 day class in various parts of the US, she also advised that if one of our members were to be certified, that member and/or family member(s) could not compete in an AQHA show NYSTQHA hosted.

AQHA show - we still do not have any indication if we are going to be approved or not. Gail will call Lisa Ponds and Tom Hatch tomorrow to inquire and will email the outcome to the board members. It was discuss at length the reality have not having enough money or man power to pull this off in a professional manner. Alot of discussion revolved around the fact that the association can not just give up, and that we need to continue to ask for a AQHA show.

Gail brought up the fact that we need to improve our Open Shows' timed jumping event sweepstakes with new and creative jumps and courses. Victoria volunteered to design the jump courses with the help of Susan Clark if needed. Gail asked Monica if Karen Kiely would also help in the design of the jump courses, Monica will speak with Karen and report back to us. Laura suggested that Lowes and Home Depot be contacted to donate the materials and to possibly have a promotion day with the youth to actually help build the necessary jumps. She also suggested that we could purchase materials from the local dollar stores to decorate the jumps. Gail stated that Emmet is no longer using his jumps, and would inquire what he had and how much the jumps would cost to purchase.
